What are the steps to secure a renter when they are ready to rent?

Once you are contacted by a potential renter here are the steps to help you move forward.  Keep in mind, the easiest way to secure your renter is to hire CHBO to be your leasing coordinator through the CHBO Rental Program.  There is only a 12% commission charged and your CHBO agent will handle this process for you.  Requirements to be accepted on the CHBO Rental Program can be found here: https://www.corporatehousingbyowner.com/chbo-rental-program/

Here are the steps to secure a renter suggested by CHBO:

1.      Pre-Qualify Renter – Have an actual conversation with the potential renter.  Some may request a tour of your property.  Find out the basic questions such as:

What are the dates they need housing?
Why they need a temporary stay in this location”
Who is financially responsible for monthly payments to you?

2.      Application – Have a credit / background check processed on the potential renter.  This can be done by setting up an application on SmartMove Transunion.   https://chbo.mysmartmove.com/  The renter will pay $40 for the application fee directly to SmartMove.

Step 1:  Sign up / Log into your SmartMove free account:  https://www.mysmartmove.com/chbo(Open 24 hours Phone: (866) 775-0961)

Step 2:  You will get a confirmation email with instructions on how to add your property and/or complete your profile.

Now that you have a potential tenant, you MUST get their email address.

3.      You will initiate a “Renter (Tenant) Screening Request” using their email address. 

4.      The Tenant is sent the application via email and chooses to accept the screening. 

a.      If the renter is new to MySmartMove, they will need to create an account.

b.      By accepting the request, the applicant initiates the release of their credit and criminal record information to you. 

c.       By declining, they cancel the rental application. 

5.      Once applicant accepts the request, you will receive the credit / criminal history information and leasing recommendations to assist you in making a decision on whether to accept or decline the applicant. 

6.      The tenant will then be notified of your decision.

7.      Lease Execution – Have the renter sign the lease agreement confirming they understand the terms of the stay.  You can purchase DocuSign credits to create an electronic lease agreement on the CHBO site.  https://www.corporatehousingbyowner.com/faqs/question/how-do-i-use-docusign-from-chbo-to-send-a-document-for-electronic-signature/

8.      Payment Collection - We will collect the credit card payment from the renter/company and direct deposit the payment into your account.  Besides the free methods such as money order and cashier checks.   When you invoice a renter from the site. Please click on the link to if you have additional questions. Contact CHBO about the Rental Program to help accept payment on your behalf along with the rental agreement process.

9.      Arrival & Departure - Many owners purchase a lock box for the door or meet the renter and have a pre arrival inspection.
