Steps to Complete and Submit Your CHBO Application

1. Locate Your Application

• Log into your CHBO account.

• Navigate to your saved application for the desired property (in this case, Property ID 28814).

2. Verify Application Fields

• Ensure all required fields are completed.

• Double-check for missing information, as incomplete applications may block submission.

3. Troubleshoot the Submit Button Issue

If the Submit button is unresponsive:

1. Clear your browser’s cache and cookies:

   • On Chrome:
     Go to Settings → Privacy and Security → Clear Browsing Data → Select "Cookies and other site data" & "Cached images and files" → Click Clear Data.

   • On Safari:
     Go to Preferences → Privacy → Manage Website Data → Remove stored data for CHBO.

2. Close your browser completely and reopen it.

3. Log back in to CHBO and try submitting again.

4. Submit the Application

• After clearing cache/cookies, click Submit again.

• Wait for any confirmation message or screen to appear.

5. If Submission Still Fails

6. Confirm Submission

• Only CHBO Support can confirm if your application was received.

• Ask them to send you written confirmation for your records.

ACH banking is typically not an option for international guests. However, we can accept direct wire transfers, PayPal, credit card payments, Venmo, or Zelle.  Also, ask your back about doing a SWIFT payment. 

Those properties not in the CHBO rental program require you to follow the qualifications and requirements by the landlord. Contact the landlord of the property of interest to get details. If the property is apart of the CHBO rental program it is required to apply then go through a background/credit check and sign/agree to rental agreement. Some properties require a security deposit and pet deposit (if applicable).

Yes, do not move into the property and do a walk through prior to accepting the keys. Report all issues to CHBO.

This contract is not final until all parties have signed the rental agreement and rental payment has been paid in full. There is a 3.5% convenience fee assessed when paying via credit card. Arrivals scheduled within 7 total days of lease approval are REQUIRED to pay via credit card or overnight a cashier's check prior to the arrival date.  If you are moving in after the 20th of the month the first full month invoice and the prorated invoice are both due to be paid at lease signing.

Some properties may accept per diem rates for the location. This is on a case by case basis and is up to the owner/property manager. Please ask the owner/property manager of the property you are interested in.

Here are the options you have for sharing a listing:

• You can share it via Facebook or Twitter. 
• You can take a printout of the property page to share with someone. 
• You can email a listing to others. 
• You can share a listing via Text/SMS to a cell phone. 

To choose any of the above options, just go to the listing's page and click on the blue ''Share Listing'' icon located in the top left corner of the property picture. 

 If no options show up once you have performed a search or you do not like the available options in an area, you can click the "Notify Me" button and you will be notified via email once more options are available. You can also submit a housing request form to get details on the closest options from the current CHBO listings.

Corporate Housing can be rented by anyone. Traditionally, it is for those business travelers using corporate housing while doing a temporary assignment or relocating. Due to the extended stay, it makes more sense financially and is more comfortable to rent a furnished home versus living in a hotel. The Corporate Housing Providers Association reports for the seventh successive year, relocation was the largest reason for using corporate housing in the US at 33%. Project/Training was the second most cited use of corporate housing in 2017.

If amenities on Walk score are missing or inaccurate, they can be updated by following these instructions:

1. Go to WalkScore Website and type in the address in “Get YourScore” search bar
2. Click on the "Map" button or map to bring up the big "What's Nearby" map
3. Click “Add a Place” button just below the map
4. Fill out the fields in the pop-up screen: category, place name, address, phone, website, etc
5. Sign in with either a Gmail or Facebook account – click “Submit”

To edit or remove:

1. Select the amenity to be removed on WalkScore Website by clicking the information button in the amenity details bubble

Submit a Housing request

You must be registered with CHBO and logged into the website. Visit the CHBO testimonials page and click the, Add Text Testimonial and/or Add Video Testimonial link. Then add the text comment for your testimonial and click Add or insert the video for approval.

1. Go to the property listing you want to email on the CHBO website.
2. At the top of the listing, click the blue share link at the top left.
3. A pop up window will open asking for a few items, click the Mail option.
4. 'Email' field is for the recipient email address.
5. 'Message' add your question/comment here.
7. Click the 'Submit' button at the bottom to send.
8. An email will be sent out to the recipient with a link to the property listing.

6. Log out of the website and log back in using your new password.

Yes. CHBO works with providers of furnished apartments worldwide that we pass your request to. If you are interested, submit a housing request and we will process your information.

On the property listing page click on the rates tab. Each property listing has different rental terms and pricing determined by the advertiser. If pricing is not shown, you will need to contact the owner in order to get this information.

No, they are all individually owned and managed by either the owner or a property manager. Often the person representing the property is shown on the sidebar of the property details page.

Any payment you make for renting property will be strictly between you and the person managing the property. Many owners accept credit cards, and most accept checks, and other forms of cash payments. The forms of payments acceptable to the owner are listed on the property detail page under the rates tab.

No, your information is held in the strictest confidence and is not shared with anyone. It will be sent directly and exclusively to the advertiser of the property. the information you choose to share with them is at your discretion. CHBO does not share any personal information with any other companies. If you choose to use the message system through the CHBO website, the other party will not get any information you do not choose to provide. We do not send you promotional emails of any kind from other companies.

On each detail listing page, there is a tab at the top called, Reviews. Click this tab to view any comments made by previous guests. If you are registered and logged in, you can add a review by going to a specific property and again clicking on the review tab. Not all listings have reviews. There is an indicator in parenthesis showing the total number of reviews from the search results and details page.

In order to leave a review for a property, you must register for free then login to CHBO. Unless a user sends you a request for a review then registration is not required.

Register or Login then follow these steps.

First, open the listing detail page of the property that you would like to review. Search for the property from the home page, or from the top of any page. (You can search for the property using the search tool by location or property id.)

When you find the property listing that you rented, open up the listing details page and click the review tab.

Select the amount of stars you believe the property review deserves (1-5) and then write a comment in the supplied box then hit submit review. Once you click on the "Submit Review" button, an email will be sent to your registered email giving you a confirmation that your review has been queued to be verified before it is posted in the review section of the property.

You must be registered and logged in to click. Simply locate the properties you like and click the star/heart link associated with that property listing. Of course, you must be logged in/registered to use the bookmarks option. once you saved a property, you can return to it later and share it with others. check your dashboard to review all saved listings.

When a renter takes financial responsibility for the rent payment himself or herself, then he/she is considered an individual client. These renters may work for a corporation, theater group or government entity, but their organizations are not taking financial responsibility for the lease, even though the renter may be reimbursed for their expenses. Direct Inquiries vs. General Housing Requests

CHBO provides renters with two ways to find a property:

• Direct Inquiry: Renters can contact you directly via email or phone from your listing, usually indicating they have reviewed your terms and are interested.
• General Housing Request: Renters submit a request for all properties in a specific area. This feature streamlines the search process by allowing corporate renters to quickly find suitable housing without manually checking availability calendars. If your property fits the renter’s criteria, you can respond with your housing options.

Tip: Verify your phone number so renters see it as "verified." You can also opt to receive text message notifications for direct inquiries or general requests.

You Have an Interested Renter—Now What?

Step 1: Send the Rental Application

Your rental application can be found under Resources → Tools and Documents → Application in your CHBO dashboard.

Step 2: Tenant Screening

1. Sign up or log into your free MySmartMove account: CHBO SmartMove Sign-Up

2. Complete Your Profile & Add Your Property
After signing up, you’ll receive a confirmation email with instructions.

3. Initiate a Tenant Screening Request

• Obtain the renter’s email address and start a screening request.
• The tenant receives an email request to process the screening and chooses to accept or decline.
• If accepted, you receive their credit & criminal history report and leasing recommendations.
• Based on this, you decide whether to approve or decline the applicant.

Note: If the applicant declines, their rental application is canceled.

When a Company Pays for the Stay

If a company is covering the tenant’s rent, take extra steps to verify legitimacy:

• Ask for bank references, Tax ID, D&B number, and company references—then verify them.
• Contact the local business they are visiting to confirm the relationship.
• Check if they use a work email (e.g., @companyname.com) and Google the domain.
• Request a reference from a previous property they stayed at and follow up.
• Google the company, call their main phone line, and ask for your contact.
• Look up the business via the Secretary of State’s website to confirm tax filings and legitimacy.

Customize the document to fit your property specifics, and once a renter is confirmed, fill in their details and stay dates.

Verifying international applicants can be an involved process to assure you feel comfortable renting to those parties. Here are some things you can considering doing while performing yor checks.

1. Have the applicants provide proof of employment.
2. Have the applicants provide bank statements and proof of income.
3. ID/Passport verification.

In most cities if you are not offering the property for less than 30 day stays then it is not required to obtain a license. Check with your local municipality to confirm the law.

This is a civil matter and requires the home owner to make a prompt police report. Make sure your CHBO agent is notified and receives a copy of the completed report.

Only service animals and emotional support animals are required legal consideration, as dictated by state and federal laws. CHBO suggests you list your property pet requirements as "Negotiable" and consider each request on a case-by-case basis for all other pet requests not covered under state or federal law.

CHBO highly supports a walk-thru to ensure all parties agree with the property conditions at move-in and move-out to help prevent any damage disputes when the tenants vacate.

The homeowner will provide move-in details to the tenant and give them access to the property on the day of check-in.

As the property owner and landlord, you will deal with the tenant directly for any lease violations. Please make sure you notify your CHBO Agent right away and keep us informed.

The homeowner handles property lease violations but must keep CHBO informed if the tenant violates the terms of the rental agreement. Make sure your new tenant is aware of any community policies, HOA rules/regulations,

The homeowner must file the eviction process but CHBO will provide our input and assistance wherever possible.

Yes. If a current lease is in place, you must notify the tenant of the increase 30 days in advance of their lease expiration.

Prospective tenants interested in viewing the property prior to booking will be coordinated with the property manager. Most properties are booked sight unseen however showing requests will be accomidated as necessary. Please contact the property manager or CHBO to discuss.

Once a potential renter contacts you, here are some steps to help you move forward.  

1.      Pre-Qualify Renter – Have an actual conversation with the potential renter.  Some may request a tour of your property.  Find out the basic questions such as:

What are the dates they need housing?

How many people will be occupying the property?

Do you they have pets?

Why do they need a temporary stay in this location?

Who is financially responsible for monthly payments to you?

1.      Application—Process a credit/background check on the potential renter. This can be done by setting up an application on SmartMove Transunion: https://chbo.mysmartmove.com/. The renter will pay $47 for the application fee directly to SmartMove.

2.      Once the applicant accepts the request, you will receive credit / criminal history information and leasing recommendations to assist you in deciding whether to accept or decline the applicant.

4.      Payment Collection—Make arrangements with the renter to secure upfront and future month's payments.

5.      Arrival & Departure—Many owners purchase a lock box for the door or meet the renter and have a pre-arrival inspection.  CHBO recommends doing a pre-arrival inspection of the property.  

The Monthly Advertising Package has been removed for new purchases and renewals. You will have to upgrade to another package when this package expires.

No template is provided, you can type in what you'd like to have it sent to the potential renter.

You can consider the option to stop receiving housing request leads for a time period and have this feature turn back on based on your required date. You can turn Off the feature by selecting “No” from the drop-down menu when editing your property listing. After selecting NO, there is an option to set a date to enable it again to receive leads. This will automatically turn this feature back to On based on the date selected.

This will send an auto response when either of these leads come in. Follow the same steps to modify the auto response text or disable from sending.

Follow these instructions to add keywords to a listing

1. When adding or editing a listing, click the 'Info/rental Rates' tab
2. From this tab, scroll to the question that says, 'Insert Search Keyword Tags'
3. Insert ay keyword that is associated to your listing, features, location, things you'd like to target, etc.
4. Save the inputs by clicking the update button

Yes, for your convenience, you have the option to assign your property a secondary property ID while listing a property or you can do that later by editing your listing once it has been posted. Please note that CHBO also assigns a property ID to your listing which cannot be changed and it will be visible to tenants as the only property ID while they search for properties online. The secondary property ID is only visible to you when you go to "My Listings" tab while logged in. This is labeled as the Internal property code in the edit property mode.

If a user purchases a gold package or stand alone virtual tour enhancement, the user would email support@mychbo.com their property images, up to 20 total. CHBO will then create a virtual tour youtube video and embed into the listing. If user purchases a platinum package, CHBO will do a photoshoot of the property and then create a virtual tour youtube video and embed into the listing. Typical turnaround is 5-10 days once images are available.

We offer Professional Photo Shoots as well as Drone Videography as an enhancement option for advertising packages or you can get them as a stand alone product if they are not covered in the package already.

For best results, use photos that are at least 826px (width) X 550px (height). Minimum dimensions 350px (width) X 330px (height). Allowed file types are: .jpg and .png. Preferred file size should be under 1 mb per image. CHBO recommends to add a unique caption to each photo.

You will need to clear cookies, clear temp files, clear cache of your browser and try again, if the photo size is not an issue here.

The following is a list of questions for property managers/owners to use when interviewing prospective tenants with pets. These questions are intended as a starting point to help property owners get to know a tenant and his or her commitment to providing responsible pet care. In addition to discussing these questions, we recommend that property owners ask the prospective tenants to bring their pets, especially dogs, to the interview; a well-groomed, well-behaved pet is one of the best signs of a responsible pet owner.   Keep in mind that pet owners considered them to be a member of the family!  Most pet owners will volunteer information, simply by asking “Tell me a little more your pet”.

Do you have a letter or other documentation from your veterinarian starting that each pet is in good health and is up to date on all vaccinations?

That is because the Housing Request sent by the potential renter indicates/is based on the city selected (One in which the renter is looking to rent) and CHBO based on a certain miles radius selected by the renter sends the housing requests to nearby city listings as well.

CHBO users have the abilty to save any listings when logged in. As an advertiser with a listing package, you can view when your listing(s) are saved by a user.

From the dashboard, click on the Saved tab and click, CHBO User Who Saved My Listings. Next to each listing that was saved, there is an offer button. This is a one time option to message the user with an offer to rent your property. If the user is interested, they will respond directly through the message system.

 

It is advised that you add your property images while adding your listing details. However, if you are unable to upload photos right now, then you can simply check the box on the bottom left corner of 'Upload Photos' window, and it will let you complete the listing process without posting any photos. Please note that photos will be required prior to the listing going live. You can email the photos at photohelp@mychbo.com if needed.

1. Go to My Listings
2. Click the edit link for the listing
3. Go to the image tab
4. Under each image, there is a field to add a caption.

2. While adding images, there is a field to add a caption under the pop up for each image that appears.

CHBO recommends you add a caption to each image. Captions are restricted to 60 characters.

Private Rooms cannot be labeled as a "CHBO Complete" unit as that setup doesn't fulfill the requirements of a CHBO complete property.

Follow these steps to pause/stop an listing enhancement from running that is within subscription:

1. Go to My Listings
2. Click 'Enhance' under the Package: Enhance or Renew
3. Click the pause button for the enhancement you'd like to pause.
4. Repeat these steps to Unpause the enhancement.

If you'd like to set a date to have the enhancement unpause, that option is available. The enhancement will restart on the date you select.

The listing enhancement will not run while being paused.

What is the pricing for Bulk Packages?

CHBO tries to find the most We highly recommend the ARDP insurance policy. What happens when there is damage?  If you charge the renter a fee to their security deposit what are the chances you get a good review? More importantly, is the liability that comes with taking funds from a security deposit. Each state varies, but if an owner charges for damages that the tenant did not do, the owner can be held liable for somewhere up to 3x the amount they charged the tenant. This option is a win/win for the owner and the renter and here’s why: 


•Renters don’t have to tie up money

•Owners don’t have to nickel and dime their tenants for minor expenses. 

•There’s no back and forth with the renter on the condition something was in prior to arrival. 

•Owners don’t have to come out of pocket for accidental damages they don’t feel ethical charging the tenants for.

Owners purchase the policy for each renter and charge renter the amount (or include it in the rent), if any damages occur the owner (tenant involvement is not required) submits a claim, within 15 days, with repair/replace receipts. Through the ARDP the amount is reimbursed directly to the owner.

Accidental Damages to a Rental Property

Tenants/renters must notify the owner/property manager of any damage or theft to the unit during their occupancy. Failure to notify the owner/property manager may void your coverage under the plan and leave you the tenant/ renter responsible for any damage to the unit. These are the coverage options for your convenience. You must register for a CHBO account to purchase coverage.


Cost

Explanation of policy
PROPERTY PROTECTION PROGRAM (CONTENTS). Our properties and their contents are valuable and reasonable care should be taken with them during their rental. 

Our company, including the participating rental property homeowners we represent (“we”, “our”, “us”), is an additionally-insured participant in a Property Protection Program that reimburses certain costs for unintentional accidental damage to our properties during their rental occupancy. With our participation in this Program, except in certain circumstances, we do not collect and hold refundable security deposits. We charge renters a non-refundable administrative fee to defer our costs for Program participation. 

Exclusions

If, during a renter’s occupancy, renter or a member of renter’s party or renter’s guest causes any damage to real or personal property of our rental property as a result of unintentional accidental acts or omissions, renter must notify our property management office at that time, and before check-out. For rentals that exceed the coverage limits of the Program, we may collect a supplementary refundable (net of any damage reimbursement) security deposit from renter upon check-in. Renter is liable to us for any damages caused by renter or a member of renter’s party or renter’s guest that are not reimbursed to us or exceed the maximum per-incident limit of our coverage, and the credit card on file and/or any collected security deposit will be charged. If renter wishes to pay a refundable (net of any damage reimbursement).

CHBO offers a 20% discount for the auto renewal of listing packages. The listing must auto renewal enabled prior to expiration from the My Listings dashboard to recieve the discount.

With auto-renewal you will:

• Never miss out on the subscription service you’ve subscribed to
• Avoid multiple renewal notices and marketing
• We'll automatically renew your subscription with a 20% discount. 

The 'pass' option with housing request leads is an indicator to CHBO and the client that you are not interested in responding to the request for whatever reason. When you pass a lead request, CHBO will ask the reason why you are passing. This feedback helps us evaluate the process. Please use this option for all leads if you are not interested in responding.

The 'pending' status means the rental lead is open for responses from property providers the housing request was sent to.

The 'closed' status means the client has closed the request. This normally means they found housing. No further contact to the client is allowed.

CHBO offers Accidental Rental Damage Protection (ARDP).  This is a service that many property owners and companies are choosing to use in lieu of collecting a security deposit.  It protects your property against damages that may be incurred during a guests stay. Many renters prefer this option because they pay a small monthly fee instead of a large security deposit up front. Property owners like it because they do not have to put the security deposit into escrow and then worry about how much to give back to the renter after their stay.  If any damages occur they simply file a claim through CHBO without having to negotiate with the renter over the cost of the damage.  If you have more questions about ARDP please feel free to contact a CHBO team member for more information

It typically takes anywhere from 2-5 days. An agent will coordinate a good time/day we can schedule the photographer to come out. Please be sure the property is ready to shoot on the day you select. There is a fee to reschedule.

If you're an employer who pays for corporate housing that is not subject to any tax exceptions, you can deduct the actual cost of providing the housing.

If you're an employee who receives housing assistance from your employer, unless the previously mentioned conditions are met, the IRS will consider your corporate housing to be a fringe benefit. Therefore, it is part of your taxable income.

There is an option to select the minimum monhtly price and above for housing requests. The default is to see all. To update this selection, edit the property and under the 'Info/Rental Rates' tab near the bottom. The question reads, 'Select a price range for the housing requests you would like to receive'. Then you select an option from the drop down.

Getting started with Docusign

1. In order to send documents you must either have a listing package that includes Docusign credits or purchase credits al la carte (1 credit = 1 document send). To purchase credits, the cost is $50 for 5 credits, $80 for 10 credits.

2. Once you've established credits, please go to this page under the 'resources' tab in the dashboard to get started with your document upload - My Rental Documents by Docusign - www.corporatehousingbyowner.com/dashboard/rental_agreements.

3. From this page, click the 'Add Document' button. Input the receipents you would like to have sign or view the docuement. Then select a .pdf or .doc file to upload for signature. Select next.

4. After the document is uploaded, this will take you to a screen that gives you the option to tag the document where you would like signature or have the user input text. The tag options in the left column are going to be specific to the signer you have selected. Be sure to toggle between the signers in the top left corner to assign the correct places you need them to input. When you are complete with all tags, click the send button in the top right corner.

5. You are done. Sit back and wait for email notifications to inform you when documents have been completed.

Each listing gives the option to add a special or special rate. The option to have it run with no expiration or by entering a start and end date is available. This option is available under the edit property mode tab #2.

The home owner’s bi-laws are very important and we recommend staying within those guidelines. Corporate rental tenants typically stay betweed 3-12 months at a time. So as an advertiser on CHBO, you can set your minimum stay requirement to whatever you desire or per the homeowners associations rules.

How do I update or add a credit card to my account?

To add a credit card

1. Log into CHBO then click on Subscriptions tab in the dashboard menu
2. Click on 'Payment Options'
3. Click 'Add a new credit card' on the right side to add a new credit card
4. Add credit card details and click the red Add button to save

To edit a credit card

1. Log into CHBO then click on Subscriptions tab in the dashboard menu
2. Click on 'Payment Options' 
3. Click the edit link next to the credit card
4. You can only edit the expiration date by clicking the link 'Edit Expiration Date'
5. Click the red Add button to save

At least one credit card is required for accounts that have advertising packages. Contact CHBO if you need to remove a card.
 

To archive/save a listing follow these steps:
1. Deactivate the ad
2. Contact CHBO that you would like to save/archive the listing for later use
3. CHBO will note the account and save it at no cost
4. Contact CHBO when you are ready to re-list the property

Here are the major things we think are important to have your renter review about their experience:

1. Have them mention the length of their stay
2. Have them mention the area and amenities
3. Have them mention why they needed corporate housing
4. Have them mention what they liked about your property
5. Have them mention how accommodating the property owner was during their stay

The average length of stay on CHBO really depends on quite a few things about the properties:

-What is the minimum stay criteria of the Home Owner's Association bi-laws?
-Is the property furnished comfortably?
-Is your property CHBO complete?
-Do you rent your property weekly or monthly or yearly?

With that being said, according to the CHBO Corproate Housing Real Estate Report done each year by the property owners of CHBO, he average CHBO tenant stays over 3 months and 15% say thier last tenant stayed for one year or longer.

Follow these steps to renew a listing package

1. Login to CHBO.
2. From the Dashboard, visit My Listings.
3. Select the property you would like to export or share the calendar from and go to the export calendar column.
4. Click the calendar icon and this will give you a couple options.
5. The first option is to download the file and extract the file in your calendar of choice. Read more about importing .ICS files into your calendar for details. The second option is to copy the URL and paste it into another website or program that accepts. ICS files.

1. Log into the dashboard.
2. Click on My Listings.
3. Click Request a Review under Reviews (5th column from the left).
4. Enter the email address of your renter/guest and edit the comment if needed.
5. This will send your renter an email with a photo of your property with a link they can easily click and give your property a 1 to 5 STAR rating and they will be able to add their comments.

The review will then be submitted for CHBO approval which can take up to 48 hours for approval. Once the approval process is complete, an email will be sent to the advertiser informing you of the new review. As the advertiser, you have the option to make a comment to the review. The best time to send a review request to the tenant is right before the tenant moves out.

Your property listing is in the requested area and you have chosen to receive them when you added/edited your property listing. Each listing on CHBO has the option of adding these requests to their accounts at no additional charge. The leads can easily be turned on or off by selecting “Yes or No" from the drop down when editing your property listing.

Nothing. However, keep in mind that the general housing request may still consider your property even though the rate, size of your property or area might be an exact match so if you need a renter respond with your property options. In this case, we recommend that you email your property listing to the request or even call the request directly if they’ve provided this information.

However, there is an option to receive request based of the monthly price range selected. This will help filter the requests.

First qualify the request. These are emails not specific to your property but submitted by individuals looking for property in your area. Only respond to those requests that you believe would be a good renter for your property. Start by looking at the budget and dates needs. Remember there can always be some flexibility. The potential renter may be looking for a 2 bedroom and your property is a 3 bedroom, but may be in the best location so you may still want to respond to this type of request.

Second it is important to respond as quickly as possible. Potential renters who are searching now are looking for answers now. It is also important to realize that you do not have to respond to all requests just the ones that best match your property rental.  If you feel your property might work for them you will need to login to your CHBO account, go to your InBox and click on the General Housing Requests link ( 3rd item on the pulldown), there you will see the inquiry.

You can call the individual, View the Details of the Inquiry and Reply by email to the individual from that page. Once you have established contact and they provide their direct email you can communicate using your personal email.

Each property listing on CHBO has the option of receiving these requests with an active listing package. This property listing feature can easily be turned on or off by selecting “Yes or No” from the drop down menu when editing your property listing. 

Also, consider the option to stop receiving housing request leads but have this feature turn back on based on a certain date. After selecting NO, there is an option to set a date to turn back on to receive leads. This will automatically turn this feature back on based on the date selected.

• Use a current head shot photo of yourself, not of something or of someone else
• Pets or children should be avoided
• Use a photo with a relatively business-like pose
• If you choose to use a company logo, make sure it is a clean image

CHBO can cancel or delete your listing(s) at anytime by request only by the account user. Before cancelling a listing, please consider this option to deactivate the listing(s) and/or update the availability calendar.

To cancel or delete your listing, please contact CHBO and make sure that your listing is NOT set to Auto-Renewal. CHBO does not offer refunds per our refund policy.

Log in, go to My listings off the pull down menu to the right of your name, On that page look right and find the Edit column and click on the pencil icon. There will be tabs for adding the property information, on the top there will be a set of Green tabs and one will say Replace Property, click on that, it will ask you to pay $50, when you have done so it will allow you to place the new property information in, complete that and activate the new property. The new listing will take over the old listings subscription. The old listing will be saved in the account for future use by purchasing a renewal package.

Follow the steps provided here to export a third party calendar to be used at CHBO.

Provided is a list of common listing websites that allow exporting their calendars to other sources. The following websites provide this service and we have supplied you with full instructions to export the files: Airbnb.com, Homeaway.com, VRBO.com, Google and Yahoo. If you have questions specific to the websites mentioned, please contact that company directly. Once you have the file to import to CHBO, follow these steps:

1. Login to CHBO and go to the Dashboard.
2. Then click the 'My Listings' tab.
3. Under the listing you are interested in, click the 'Edit' icon.
4. Navigate and click the 'Calendar' tab.
5. Insert the calendar file URL provided by the website you are getting the link from.
6. Click the green 'Update' button to save the changes.

SmartMove is used when someone is interested in applying to rent a property. In order to begin the process, the potential renter MUST provide an email address to the landlord. Once the email address has been provided, the process generally goes as follows. Start by visiting https://www.mysmartmove.com/chbo
 
1.       Landlord initiates a renter screening request using the email address provided by the applicant. (If the landlord is new to SmartMove, he or she must create an account and add at least one property.)
2.       Renter is sent the application request via email and chooses to accept or decline the screening. (If the applicant is new to SmartMove, he or she must create an account in order to accept or decline the request.)
3.       By accepting the request, the applicant initiates the release of his or her credit and criminal record information to the landlord through SmartMove. By declining, he or she cancels the rental application. Either way, most personal identifying information such as a Social Security number is not released.
4.       If the applicant accepts the request, the landlord receives credit and criminal history information and a SmartMove leasing recommendation to assist them in making a decision on whether to accept or decline the applicant.
5.       Renter is notified of the landlord’s decision.
 
When a landlord begins a new application request, he or she chooses whether to pay for the service or whether he or she will request the renter to pay for the application. Based on who is chosen, credit card entry information will be displayed to that party at the time of the transaction.

To mark your property as CHBO Complete, follow these steps:

1. Login to CHBO.
2. Click the 'My Listings' link from the top menu beneath the users first name.
3. Click the edit link .
4. Select the 'Property Info/Rental Rates' tab.
5. Find the question, 'Is this property CHBO Complete?'
6. Select 'Yes' from the drop down.
7. Click the 'Update' link to save all changes.

This will add the CHBO Complete logo on the property listing shown to the public.

1. Login to your account at the top right of the CHBO website.
2. Under the 'welcome (your name) message at the top right, click the 'dashboard' option from the drop down.
3. Click 'edit profile' link under profile.
4. Click the 'change password' link and insert the new password into the two fields.
5. Click the 'update' at the bottom of page to change your password.
6. Log out of the website and log back in using your new password.

How to register, login and recover your password to CHBO

1. Login to CHBO.
2. Click the 'My Listings' link from the top menu beneath the users first name.
3. Click the edit link .
4. This is the screen to edit all sections of your listing. Click the tabs at the top to change the section. Be sure to click the 'update' link to save all changes.
5 . We will attempt to save all inputs except images automatically every 20 seconds to reduce loosing any inputs.

The answer isn't clear cut because there are demands for both. However, consider these factors when making your decision: Upkeep Single family homes typically require extra upkeep and maintenance (especially if they are older). They require regular yard maintenance, exterior painting, roof repairs, etc. on the other hand, condos only require maintenance within the unit as the upkeep of the exterior and common areas are maintained by the HOA and are part of the monthly assessment. Condos create reserves from HOA fees to manage major exterior updates or repairs (i.e., A new roof). Maintenance costs Single family homes come with monthly costs like trash, heating, water, lawn mowing, etc., each needing to be paid separately. The good part is that some of these costs (heat, water) will fluctuate depending on the season and occupancy (vacant, one person vs. multiple people). Condos require you to pay a monthly assessment regardless of occupancy, however, most condos include heat, exterior maintenance, trash, building insurance and water in their monthly fees. Time/commitment Single family homes, no doubt, take more time to manage and require a more active, hands-on investor because there are many more things that require upkeep and maintenance. For investors will little time to dedicate to this, a condo might be the better option. Rental rate Rental rates are generally determined by the property location, type, number of bedrooms, amenities and lease periods available. If your rental is in a condominium complex, that is 30% investor-owned, rates may be fairly uniform with similar units within the building. Resale value while resale value depends on a multitude of variables, single family homes typically are easier to resell and hold their value over the long-term. During certain market periods a condo building with multiple units may have numerous units for sale, making it a more challenging time to sell. These are just some considerations to reflect on when deciding on the right type of corporate housing investment for you. be sure to do your homework and take a "gut" check to find out what kind of investor you are and what type of property would work best for you.

1. Go to the property listing you want to email on the CHBO website.
2. At the top of the listing, click the button at the top left.
3. A pop up window will open asking for a few items.
4. 'Email to' field is for the recipient email address.
5. 'Subject' will default with the property title, change if needed.
6. 'Message' is to send a comment to the recipient.
7. Click the 'submit' button at the bottom to send.
8. An email will be sent out to the recipient with a link to the property.

There are three easy ways to add photos to your listing:

1. Upload photos from your computer when you originally list your property.

2. If you want to add photos later, click here and select your property under 'my listings' and select edit property. This will take you to the main edit page. Click the 'photos' tab at the top. you can drag and drop photos to add or use the 'upload photo' link to locate the photos on your computer to upload. From this page, you can also replace and delete photos. Adding photo captions to the photos is recommended as well.

3. If you are having difficulty uploading photos yourself, simply email your photos to CHBO. Mention in the email subject line the property ID to which you want the photos added.

You do not. You may add all your properties under the same owner account called our CHBO Bulk Account. This account makes it easier to manage all your properties in one space.. 1. Registering an Account

• To start, go to the CHBO website and click “Register” at the top.

• On the registration page, you can:

  • Enter your contact details, create a username and password, complete the captcha, and hit register.

  • Or, sign up using a social account like Facebook or Google+, which links directly to CHBO.

• After registering, you’ll receive a confirmation email. You must click the link in that email to verify your address before gaining full access to the site.

2. Logging In

• Once your email is confirmed, you can log in anytime by entering your username and password on the login page.

• If everything is correct, you’ll gain access to your account dashboard immediately.

3. Recovering Your Account

• If you forget your password or have login issues, click “Forgot Password.”

If the listing is marked CHBO complete, the property includes utilities for the renters convenience. However, a utility allowance may be given to help manage overages. General Housing requests are individual requests from potential renters looking for housing in a specific area. Rather than contact numerous properties one at a time, these requests make it easy for anyone in need of housing to submit a single request and receive direct responses from properties that are available in the requested area.

Is there a difference between paying by credit card vs. paying by check?

Yes — depending on the owner:

• Some owners may charge a processing fee for credit card payments.

• Paying by check or ACH may avoid extra fees.

• The owner or manager determines which forms of payment they accept and whether any fees apply.

Be sure to confirm payment details directly with the property owner.

Can CHBO tell me which payment option is best?

CHBO cannot recommend a specific payment method, because payment arrangements are owner-managed. For the most accurate information, contact the owner or manager listed on the property page.

Where can I find payment terms for my rental?

All payment details—including due dates, deposit amounts, accepted payment types, and any fees—are provided:

• In your rental agreement/lease with the owner

• On the Rates tab of the property detail page

If you’d like to use different banking or tax details for a secondary Rental Program listing, please contact CHBO and we’ll set it up.

CHBO prorates the rent on a 30-day basis. If you move in on any day other than the first of the month, the monthly rate is prorated by taking the monthly rate and dividing by 30, then multiplying by the number of days you will be in the rental

Renters will have two invoices due the same day the lease is signed and executed to finalize their reservation. Rent is due for the remainder of the month in which the lease starts at the rental property. This invoice will also include any fees and deposits associated with the lease. The next full month's rent is also due at lease signing. 

Renters may pay via ACH, wire transfer, cashier’s check, or credit card. There is a 3.5% monthly processing fee to pay via credit card.  If the move-in date is within 7 days of when the lease is executed, Renters must pay via credit card or overnight a cashier’s check to CHBO. CHBO also will need a copy of the front and back of the credit card.

As part of your Rental Program application process, CHBO requires proof of ownership. Your application will not be approved until all required documentation is received and confirmed by CHBO. Proof of ownership of your rental property showing your name or company name as the owner and the street address of the rental. Here are some examples you can upload for proof of ownership: 

1. Deed or Official Record

2. Mortgage documentation

3. Property tax receipt or bill

4. Manufactured home certificate or title

5. Home purchase contracts (e.g. Bill of Sale, Bond for Title, Land Installment Contract, etc.)

Upload one of the above mentioned documents to your dashboard under the Rental Program menu.

Once the renter's lease term has passed, CHBO automatically places the lease on month-to-month in accordance with the lease. CHBO automatically blocks the property listing calendar 35 days from the current day (today) until the renter officially gives their 30-day notice to vacate.  CHBO then adjusts the property calendar to match the correct dates. The renter can do this through their CHBO dashboard, which we instruct them to do through email.   If the renter thinks they will be here for some time, we recommend they extend the calendar to avoid an issue with new potential renters.

CHBO Rental Program Reservation Process

Below is a comprehensive guide outlining the stages involved in the CHBO Rental Program reservation process from the perspective of the tenant. CHBO takes charge of coordinating the entire transaction, ensuring a seamless transition for tenants moving into properties managed by owners under contract with CHBO.

1. Complete the CHBO rental application for the listing(s) you are interested in renting. A photo ID is required for each applicant over the age of 18.
2. Complete the TransUnion SmartMove background check process. A link to initiate this process will be sent to you after the rental application is completed.
   • This is a soft pull on your credit report and will not affect your credit score.
3. Once your application is approved, we will initiate the rental agreement process.
4. All rent, fees, and deposits are due upfront when your lease is signed and executed.
   • Your first invoice will be for 30 days, no matter what day of the month you move in.
   • If you are moving in on the 15^th of the month or after, the prorated rent for the 2^nd month is also due upfront.
   • Your next rental payment will be due on the first of the month following your move-in date.
5. You may pay via ACH, wire transfer, cashier’s check, or credit card. If your move-in date is within seven days of your lease is execution, you must pay via credit card or overnight a cashier’s check to CHBO.
   • We will need a copy of the front and back of the credit card.
6. Once your move-in invoices are paid, your reservation will be complete.
7. CHBO will send you a reservation confirmation with all the information you need to check into your rental on the move-in day.
8. REMINDER --- All CHBO reservations require a 30-day notice to vacate before departure, even if you plan to leave on the lease end date.
9. If you do not request an extension or enter your notice to vacate before your lease expiration, your lease will automatically continue on a month-to-month basis until CHBO receives your 30 days’ notice.
10. CHBO does suggest you complete a move-in and move-out walkthrough with the owner to detail the repairs needed or discrepancies to be recorded.  Please email a copy of your condition form to reservations@mychbo.com.
    • Once you have departed, your security deposit (if applicable) will be refunded to you within 21 days.
    • You will be notified promptly of any deductions submitted by the owner with corresponding documentation for the repair/replacement items.

The typical time frame is within 30 days after the property has been reviewed after moving out.

CHBO encourages any property type into the CHBO rental program.  Shared rental spaces are not allowed.  

Below is the criteria to qualify your property for the CHBO rental program

• The property must be located in a highly dense area within the US. The location can be evaluated by the CHBO team.
• The property must be CHBO complete and CHBO Certified.
• The property should be tastefully furnished including all or more of the inventory options mentioned in the CHBO Complete checklist.
• CHBO does not recommend allowing short term vacation rentals while marketing the property in the Rental Program.
• CHBO does not recommend advance booking your calendar for future reservations.  We recommend booking for the immediate renter.  Under our lease agreement, we will require a 30-day notice to vacate which will give CHBO enough time to re-rent the property.
• Although most corporate renters book the property sight unseen we have found that if someone is going to stay over 3 months, they typically want to view the property prior to booking.
• It is required the property has either a property manager or someone to manage all the property needs while a guest is living in the property.

The following payment details are related to reservations generated from the CHBO Rental Program.

Rent payments on new reservations: 

          * If a tenant moves in during the month, the owner will receive the pro-rated rent, move-out clean fee, pet fee, etc. in that month. Rent for the next month will be paid in the next month.

          * Payments are electronically initiated on Wednesdays once funds have cleared and their move-in has been confirmed.                    

                    For example, move-ins from Tuesdays to Mondays will be paid on the following Wednesday if conditions have been met.

          * Fraud protection policies may delay first-time payments to an account.

          * ACH banking details must be provided with photo/screenshot documentation of the account number in order for payments to be sent. 

                    To double-check or update this information:

                            - Login to your CHBO portal.

                            - Scroll your mouse over the “CHBO Rental Program” dropdown.

                            - Click “Payment Methods.”

Rent payments on existing reservations:  

          * Payments will be initiated by the 10th of the month and may be slightly delayed if a bank holiday slows the funds from clearing. 

          * The payment issued will be for the current month. 

OWNER STATEMENTS ARE EMAILED THE DAY AFTER THE PAYMENT HAS BEEN INITIATED, WHICH IS USUALLY THE SAME DAY FUNDS HIT BANK ACCOUNTS.

Utility Allowance means the value of utilities such as electricity, gas, and water costs that are included in the gross rent of the tenant. This is included in the rent each month. If the amount of allowance is exceeded, the landlord may elect to charge the tenant the overages. See the listing details and/or the rental agreement for details.

You must notify your CHBO agent of any damages within 7 days of the departure date. Please send an email to claimsrp@mychbo.com including pictures and a description of the damage to initiate the claim.

If you received over $600 from CHBO in one calendar year, than CHBO will issue you a 1099 on or before January 31st of the following year.  

Proof of ownership of the dwelling you are wanting to adverise, complete W-9 tax details, ACH bank info for CHBO to pay you monthly, execution of the CHBO Rental Program Agreement, and have CHBO added as an Additional Interest on your homeowner's insurance policy for the dwellimg you are advertising.

Yes, the fee is 12% of the monthly rental rate. This transaction fee also applies to all one-time fees collected upfront at move-in.

If there is not a current tenant in the rental property, you can give CHBO a 45-day notice to Opt-Out of the Rental Program. If there is a current tenant/lease in place, you must wait for the tenant to vacate the property before you can opt-out of the program.
